Meetings and Incentive Travel Industry Awards 2009

In November 2008, Comtec Presentations were set a challenge like no other. After a successful pitch presentation, we were given the chance to once again work with CAT Publications; this time, we had to impress over 600 industry insiders at the Meetings and Incentive Travel Industry Awards 2009.

This event, held at Novotel London West, rewards industry bodies in such categories as Best UK Hotel, Best Overseas Airline and Best Event Management Company and showcases the best of the best. Our challenge was to ensure that the ceremony amazed and excited and went that extra mile to set the industry standard.

The M&IT Industry Awards have wowed audiences previously with large-scale wide screen and multi-screen technologies so Comtec had to really push the boundaries and go one step further. The theme for this year’s awards was The International Astronomy Year and Ron Gilmour, our Special Projects Director, came up with a fitting idea; a curved screen – but not just any curved screen.

The rig, although challenging due to the huge amount of aerial work required, was completed with speed and efficiency by our dedicated team of technical engineers. The colossal screen, 3 curved stages and 2 plasma lecterns made up the fantastic set design and the complex lighting programme ensured that the set maximized its full potential.

The M&IT Industry Awards gave Comtec’s full service media team the chance to push the limits of delivery by utilising combinations of new software and creativity to come up with an awards presentation that would wow the client and the audience. They created an animated background of glittering stars and planets which constantly moved behind live camera images and real-time interactive 3d and 2d content – taking ‘slides’ into the next level.

Using several projectors the image is distorted using auto correction facilities that are typically utilised for projecting onto a flat surface at an angle. Distorting the images and blending each projection into the other created the moving backdrop along the curved screen.

The curvature of the screen gave Comtec the scope to ensure that every person around the 60 tables had full visibility. The content of the presentation was repeated on the left and the right of the screen whilst the live camera image was displayed centrally.

 Aside from the main set and stage though, Comtec Presentations also rigged two 12ft wide by 4ft tall ‘repeater’ screens on the back wall of the main room.

To ensure that the drinks reception, held in the Champagne Foyer also had the same visual impact as the main room, Comtec set up several intelligent moving lights with an M&IT Awards logo gobo as well as themed gobos circulating around the room. Two smaller screens with rear projection were also installed in the corners of the room,  which showcased an animated sponsor loop – ensuring that the sponsors were given great coverage throughout the event.

Once the last award had been handed to the lucky recipient, the guests decamped back to the Champagne Foyer where comfy furniture had been set out. Now, guests were given the chance to look at highlights from the evening as Comtec had produced a fantastic closing sequence with footage of the main host for the evening, Mr. Jeremy Vine as well as each of the Gold Awards winners.
